The Role

Reporting directly to the Mental Wellness Manager, the Intake Coordinator/Scheduler for the Mental Health Program assumes a pivotal role in ensuring a streamlined access process to mental health and addiction services within the Métis Nation of Ontario (MNO). Tasked with the oversight of all referrals, addressing program inquiries, and meticulous adherence to privacy regulations, the Intake Coordinator serves as an essential link between individuals seeking support and the comprehensive services provided by the mental health and addiction program. Additionally, this position actively supports the operations of Telemedicine services, demonstrating proficiency in managing clinical appointments, ensuring equipment functionality, and delivering indispensable support for client records management and scheduling. As the primary point of contact for the MNO Mental Health program, the Intake Coordinator/Scheduler plays an instrumental role in crafting a supportive and efficient pathway for individuals to access the vital mental health and addiction services they require, thereby contributing significantly to the program’s overall success.

Duties include, but are not limited to:

Referral Management:

  • Oversee all referrals to the Mental Health and Addiction Program.
  • Appropriately address or direct program inquiries from clients, families, and stakeholders.
  • Ensure all referral content complies with PHIPA (Personal Health Information Protection Act) requirements.

Telemedicine Services:

  • Manage the daily operations of Telemedicine services.
  • Schedule clinical appointments, ensuring optimal use of resources.
  • Set up and test equipment for Telemedicine sessions.
  • Support MHA staff and clinical providers in client records management and scheduling.
  • Maintain multiple shared calendars for scheduling clinical appointments.
  • Monitor the mha@metisnation.org email.
  • Assist clinicians, staff, and clients in troubleshooting technical issues
  • Be available during clinic times to troubleshoot if required and be a contact for psychiatrists
  • Appropriately address and direct program inquiries promptly.

Client Records Management:

  • Maintain accurate and confidential client records in adherence to privacy and regulatory standards.
  • Generate reports and compile data for program evaluation and compliance purposes.
  • Collaborate with the team to identify and implement improvements in record-keeping processes.

Stakeholder Communication:

  • Act as the first point of contact for the MNO community and stakeholders.
  • Provide information about program services, eligibility criteria, and available resources.
  • Foster positive relationships with external partners to enhance the program’s reach and impact.
  • Point of contact for all SickKids/CHEO referrals.
  • Other reasonable duties as may be assigned

Qualifications

  • Strong desire to act in the service of the Métis Citizens, to advance and uphold rights and culture
  • Completion of college diploma in a related field or equivalent combination of education and experience
  • Previous experience in intake coordination, scheduling, or a similar role within mental health and addiction services.
  • Strong understanding of mental health and addiction issues, treatment modalities, and community resources.
  • A high degree of technology literacy and proficiency in standard office equipment
  • Familiarity with PHIPA and other privacy regulations.
  • Advanced communications skills
  • Superior organization skills and time/priority management
  • Highly detail-oriented
  • Ability to work alone/independently with minimal supervision
  • Strong problem-solving and analytical skills
  • Demonstrated experience in a related field

Preferred:

  • Knowledge of Métis culture, issues, and current activities
  • One year or more experience in a similar/comparable role
  • Experience dealing with confidential information
  • Experience working in coordinating and delivering programs and/or services
